Route stop 1: On the spreadsheet
On the spreadsheet, HR rows against the tide.
Anyone who takes care of people at a company with 20 to 300 employees knows the routine: lots of scattered information and little certainty when it's time to pay.
- Payroll closed across three spreadsheetsA broken formula changes someone's net pay, and you only find out when the payslip arrives.
- Time entries checked by eyeUnapproved overtime and paper records turn into rework and risk at the end of the month.
- Onboarding by emailA missing document, the wrong version of the contract and a new person waiting on day one.
Fictitious data. Hover over the red and yellow cells in the “before”.
Route stop 2: Trimming the sails
Four routines, one course.
Each module handles one part of the work and passes the information on. Time tracking feeds payroll, onboarding feeds everything.
Payroll
Time tracking and benefits already arrive in payroll. Vela flags mismatches before closing and only enables “Close payroll” when everything is right.
- Mismatches flagged before closing
- Payslips generated and sent to each person
- History by pay period, no version_final_2
Time tracking
Clocking in on the phone, a monthly calendar by team and an hours bank calculated on its own. Unapproved overtime becomes an open item, not a surprise.
- Clocking in on the phone, with optional location
- Hours bank with a time-off deadline
- Overtime approval by the manager
Benefits
Meal and transportation vouchers, health plan and allowances with each one's enrollment and cost. Turn a benefit on and off and see the impact before deciding.
- Monthly cost per benefit and per person
- Deductions carried into payroll
- Simulation before changing the policy
Digital onboarding
The person sends documents from their phone, HR checks each one and the contract is signed electronically. Details → Documents → Signature → Done.
- Document checklist with a status per item
- Electronic contract signature
- Data ready for payroll and time tracking
- 1Mismatches flagged before paying
- 2Payslips straight to each person's phone
- 3Only closes after the check
- 1Hours bank balance and time-off deadline
- 2Absences and overtime become items to approve
- 3Abbreviation and legend, not just color
- 1The month's cost, by pay period
- 2Each slice with its percentage and value in text
- 1Visible progress for HR and for the person
- 2Status of each document
- 3Reminder before the first day

Frequently asked questions
Before setting sail
Ask the crew: pick a question or write your own. The answers point to the help center when the topic has a step-by-step guide.
Help center15 articles with the step-by-step for each routineHi! I'm Marina, from the Vela team. What would you like to know before setting sail?
See all questions and answers as a list
- How long does it take to get started?
- Two weeks on average: we import people, salaries and benefits from your spreadsheet or current system, and the first payroll already runs on Vela. Step by step in the help center.
- Do I need to stop operations to switch systems?
- No. During the rollout, the month's payroll stays as it is; Vela takes over from the next pay period, with a side-by-side check.
- Do you help import the data from the spreadsheet?
- Yes. You send the spreadsheet as it is and our team organizes the import with you. Step by step in the help center.
- What size of company was Vela built for?
- For companies with 20 to 300 people that already have an HR routine but still depend on spreadsheets and email.
- Does Vela calculate vacation pay and the 13th salary?
- Yes. Vacation, the 13th salary and terminations are calculated from each person's history, with the legal basis shown on screen.
- Does it work on mobile?
- Yes. HR uses it on the computer or the phone, and each person on the team has their own access to clock in, see payslips and send documents. Step by step in the help center.
- Is there a lock-in period?
- Not on the monthly plan. The annual plan has a discount and can be canceled with 30 days' notice, with a prorated fee stated in the contract.
- How does per-person billing work?
- You pay for the number of active people in the month. Hired someone? The next invoice adjusts on its own.
- Where is my company's data stored?
- On servers in Brazil, with encryption and daily backups. Every access to sensitive data is logged. Step by step in the help center.
- Is Vela compliant with the LGPD?
- Vela processes employee data to meet the employer's legal obligations and offers role-based access control. See the privacy page. Step by step in the help center.
