01
The challenge
Brisa Clara runs 24 hours a day. Nursing works 12x36 shifts, the front desk works business hours, and shift swaps happen every week over WhatsApp.
Two people from administration spent two days a month checking the shift spreadsheet against the time clock, looking for swapped shifts, overtime and absences.
Benefits were another problem: the transportation voucher calculated per day worked, different for each schedule.
02
How the rollout went
- Week 1
Setting up the 12x36 shifts and the front desk hours, with the rules from the category's collective agreement.
- Week 2
Shift swaps started being requested and approved in the app, with the nursing coordinators as approvers.
- Week 4
The transportation voucher calculated from each person's shift days and the monthly order generated by Vela.

Checking time entries used to take two days; now it fits in a morning. The coordinators approve shift swaps on their phones and I only look at what Vela flags as an inconsistency.
